Welcome to Feature Friday

This week, we're tackling the growing demand for efficiency amidst expanding client schedules. Our client schedules keep getting bigger and bigger, keeping everyone incredibly busy!

With larger schedules, the uploading process might tie up your system for a while, preventing you from utilizing it for other crucial tasks.

To address this, all schedules exceeding 100 rows will now be imported in the background. This way, your system will be freed up to handle other tasks while Staffwise takes care of the heavy lifting. ??

If your schedule is over 100 rows you will see this banner message at the top of the page upon uploading your file:

Whilst the schedule is being imported you will not be able to view or edit the schedule, but instead it will be locked and you will see the percentage that has been uploaded thus far:

Once the import is complete you will receive an email to let you know!

We've introduced a new feature enabling staff to request reimbursement for travel time. You can incorporate it as either a per-hour cost or a flat fee and specify restrictions for certain roles.

19 Apr 24 - Control who see's what page of the registration by staff statuses

? Brace yourselves, for todays Feature Friday! This week, we're talking about staff onboarding with sleek enhancements and turbocharged efficiency! ?✨

FEATURE 1: Staff onboarding enhancement

We have some more enhancements to your staff registration and onboarding process. This new updates allows you to have more control over who sees what page of the registration as you guide staff through an application tracking process using your custom staff statuses.

How does this work you might ask! Well, let’s see:

  • Go to Settings > Staff registration > Manage the registration form.
  • Here you can manage the visibility of each of the following pages:
    • ID & Right to work
    • About you
    • Experience & Skills
    • Availability calendar
    • Referees
    • References
    • Custom questions
    • Photos
    • Training & Quals
    • Sizes & Attributes
    • Bank Details
  • To do so click on Manage for each page

There you will see a new field to allow you to Limit the visibility to staff statuses of any of the above registration pages.

But wait… it gets better!

When creating custom fields on the Custom questions page you can restrict each individual block to certain staff statuses. This could be very useful if you have an application tracking process whereby as they progress to the next stage the staff can then see the next series of questions required.

To see this in action:

  • Go to Settings > Staff registration > Manage the registration form.
  • Click on Manage for Custom questions
  • Go to Form builder > Manage
  • Here you can add your custom question blocks and add the questions to those blocks. See Custom questions if you are not familiar with this page.

When creating a custom question block you can determine which staff statuses can see this block:

12 Apr 24 - Hiding/visibily of shifts and shift rates

Today, we have some new updates to existing features. These updates focus on improving the control of visibility of shift information for both admin and staff.

FEATURE 1: Hide booked shifts

This is a straightforward addition, but we believe it will be well-liked! On the Shifts page, an extra filter has been incorporated to conceal booked shifts from the view.

You can find this new filter on the Shifts pages in the top Search block:

FEATURE 2: Hide booked shifts when inviting and shortlisting

In similarity to the feature above this filter lets you hide booked shifts on the following two dialogues:

FEATURE 3: Limit visibility of the shift rates from staff

When adding shift data to a schedule in Staffwise a rate has to be added, but now you have control over when staff can see these shift rates throughout the shift lifecycle.

On this Shifts page, there is a new button located in this button block:

This will open a dialogue to enable you to control the visibility of the staff rates:

This week, we're egg-cited to introduce our latest update: the Timezone Feature! Now, effortlessly schedule shifts across time zones in the same job and make scheduling a breeze. ?✨

FEATURE 1: Time zones

We've introduced a new feature allowing users to incorporate multiple time zones within a single job.

When inputting a location into the schedule, you'll notice an additional time zone selector:

Once the location is saved, it will be displayed with the respective locale for that time zone:

What does this mean for you? Here are two crucial points:

1.  You can now easily view both the local time and the shift time zone on the shifts page and the dashboard. This helps in understanding the time differences for activities like check-ins:

2.  All shift reminders will be sent according to the time zone of the shift, rather than your local time zone.

It's important to note that there's currently no functionality to import time zones via a schedule import.

15 Mar 24 - Add extra miles to mileage A-B expense claims

We've listened to staff feedback and upgraded our mileage claiming system to ensure fairness for all staff members. Check out the improved process now and make travel reimbursements a breeze!

FEATURE 1: Mileage claim A-B

After taking staff feedback into consideration, we understand that travel routes aren't always straightforward due to factors like traffic, roadworks, or unexpected obstacles, such as protests. These situations often require additional miles or kilometres to detour around them.

As a response, we've implemented a new feature allowing staff to include these discrepancies in their mileage A-B claims. When viewing and approving this additional mileage/km the total can be updated as required.

We have made a lovely little update to allow your event managers, team leaders, crew bosses and all those people in charge in the field to see the shift status logs for en-route, check-in and check-out for their team to better manage staff attendance and punctuality.

So, in addition to being able to evaluate and sign-off their teams shifts they can also now see these shift status logs on their dashboard:

FEATURE 1: Update to applying logic to multiple choice questions

Adding logic to multiple choice questions just became a whole lot more efficient. Instead of having to apply the logic to each option separately, you can now select multiple options at once and apply the same logic to all of them in one easy move. Phew!

FEATURE 2: We have grid logic

You can now add some logic to your grids to ensure only the relevant fields are presented based upon selections made in dropdowns:

To apply this logic to dropdown fields in a grid:

  • Click on the settings button in the grid options dialogue for the column that contains your dropdown field:

  • Use the show and hide buttons to apply your logic to other columns in the grid:

FEATURE 3: Additional filters in clientarea

Filter your reporting data the way you need to with our new filters.

FEATURE 4: Updates to Fill and Repeat surveys

Staff now have the ability to view the previous surveys they submitted in their staffarea for Fill and Repeat surveys.

This is useful for staff being able to see and compare data submitted on a previous visit, shift or assignment.

These previous surveys are for reference purposes only and cannot be amended by the staff.

It's Feature Friday, and this week, we're shaking things up with the dynamic duo:?punctuality reports and expense reports! Because, let's be honest, who knew tracking time and money could be this thrilling? Both reports can be found conveniently located on the reports tab, see below for further details.

Punctuality reports provide insights into the frequency and extent of punctuality, helping assess reliability and time management. The aim is to evaluate and improve time-related performance, fostering a more efficient and organized environment. See example below.

FEATURE 2: Expense reports

Expense reports play a crucial role in financial management, providing transparency, accountability, and a means for efficient reimbursement and financial decision-making. Expense claims can be broken down into categories such as mileage, hotel, food, parking etc. See example below.

FEATURE 2: New exclusion searches

We have added three new exclusion filters to the staff search so you can exclude staff already invited, applied or declined on a job.

FEATURE 3: Exclude roles from shift reminders

You can now exclude certain roles from your automatic shift reminders when setting up a job. This could apply to roles such as reserves or backups.

You can also add them to the job setup defaults in Settings > Job Options > Job Mandatory Fields and Defaults.

This process needed to be quicker and slicker and we have indeed done just that. Click below for more details.

FEATURE 5: Duplicate all shifts from one day to another

This handy new duplication tool allows you to duplicate every shift on a single date to another date. You can choose whether or not you want the staff to be duplicated and booked as well!

This could be particularly useful if your job is extended by a day or two and you need a quick and efficient way to duplicate all those lovely shifts from one day to the next. Click below for more details.

Greetings and welcome to our inaugural Feature Friday! ?

I'm Gemma the Marketing Manager here at Stafffwise and I invite you to join us each week keeping you in the loop with the freshest updates from the brains at Staffwise. Let the feature party begin! ?

FEATURE 1: Custom Job Market status

You may have already seen this new Job Status button on your shifts pages and whilst some of you might already be using it, others might still be wondering what this is actually for!

Well, its hard for us to predetermine what each of our customers would consider to be a job that has lots of shift availability or one has only partial availability to one that is limited in availability, and then of course everything in between. So instead of creating a regimented system we have given you the freedom to add Job Statuses as and when you need to.

These statuses of course don’t need to be driven by the availability of shifts, they can also be notes, comments, reminders or information that you want to share on a particular job to potential shift applicants right there in the Job Market before they apply. These statuses can then be changed and re-used where necessary across multiple jobs. Super flexible!

FEATURE 2: Add dates to all locations in a schedule group

Adding the same dates to multiple locations in a single schedule group was a bit tiresome and long, but not anymore! Simply click on Options > Add dates to all locations and you can select a set of dates to apply to all locations in that group.
