Create an NDA for only your active staff to view, agree and sign
Let's say you need only your active staff to sign an NDA relating to their job or upcoming work. By limiting it to active staff only this NDA will not appear on the staff registration for any new staff.
You can do this as follows:
- Go to Settings > Staff registration > Terms, Privacy, Consent and Opt-ins > Edit
- Follow our user guide article on how to add your NDA in the same way you would add any typical terms and conditions. See:Terms, privacy statements, opt-ins and consent
- To start your NDA copy why not use Cowriter to get you started?
- Make sure to add the specific details of your NDA into Cowriter so you can get something tailored to your exact requirements, and make sure to fully review and edit the copy where applicable.
- To ensure staff must agree and sign against this NDA on their next login you must check these tick boxes:
- To ensure that only your active staff have visibility of your NDA make sure to limit the visibility to the staff statuses required:
- Note that you can also use staff tags to limit visibility:

- When submitted your new NDA will be added as inactive so make sure to click on the inactive button to change it to active
- To start your NDA copy why not use Cowriter to get you started?
- In this example the next time staff in the Active or Active - internal staff statuses log into their staffarea they will be asked to review, agree and sign this NDA before they can proceed to their dashboard:
- You can then view this signed NDA:
- On the Staff profile dashboard
- Or via the Terms tab
- On the Staff profile dashboard
Create a phone waiver or image consent for staff booked onto a certain job
Let's say you need all staff on a particular job to agree to the following with every shift they confirm via their booking confirmation email only:
- Consent for their images to be used for marketing material. An example opt-in statement might be something like this:
I hereby grant Staffwise permission to use photographs and/or video recordings of me taken during the event for use in publications, news releases, online, and in other communications related to the mission of Staffwise.
- Agree to a phone waiver that states they must use their phone to take photos but if they break their phone it's their responsibility. So for example, you might use this statement:
I agree to use my phone to take pictures and complete feedback after each visit. Staffwise do not take any responsibility and we are not liable for any loss or damage to your phone and property.
You can set this up as follows:
- Go to Settings > Staff registration > Terms, Privacy, Consent and Opt-ins > Edit
- Follow our user guide article on how to add your waiver and/or consent in the same way you would add any typical terms and conditions. See:Terms, privacy statements, opt-ins and consent
- Once again you can use Cowriter to create your copy to get you started. Make sure to add the specific details into Cowriter so you can get something tailored to your exact requirements, and make sure to fully review and edit the copy where applicable.
- In this example we only want the waiver and/or consent to be visible by staff when confirming their shifts and to not be visible on the staff registration, so you would need to ensure you have it setup as follows:
- Now when you setup a job you are able to select these new options for staff to agree to with every shift confirmation:
- When submitted your new waiver and/or consent will be added as inactive so make sure to click on the inactive button to change it to active
- When staff receive their booking confirmation email for this job they will see the following and therefore be agreeing to said waiver and consent with every shift confirmation:
How to create a contract for one person that isnt related to a job.
In this example, we are going to explain how you can create a contract for one person to agree and sign that isn't related to any jobs. Staff would be prompted to read, agree and sign upon their next login to their staffarea.
To achieve this outcome we would first need to create a staff tag and add that single person to the tag:
- See Staff tags for setting up and managing staff tags.
- If this contract is to be solely used for this one person then you can name the tag as the name of the staff
- If this contract could potentially be allocated to others then name the tag as the name of the contract thus allowing other names to be added in the future
- As soon as a staff profile is added to this tag those staff members will be prompted on their next staffarea login to read, agree and sign the contract that this staff tag is allocated to
Here is how you can create that contract and allocate the staff tag:
- Go to Settings > Staff registration > Terms, Privacy, Consent and Opt-ins > Edit

- When adding the copy of your contact be sure to use the tags that are available to you by clicking this button in the text editor toolbar:
- To ensure the contract is agreed upon and signed on the staff's next login you must check these tick boxes:
- You may want to allocate the staff statuses to limit visibility to the correct pool of staff:
- You will now have to allocate the staff tag you created to ensure only this single person can see this contract:

- When submitted your new contract it will be added as inactive so make sure to click on the inactive button to change it to active
- When adding the copy of your contact be sure to use the tags that are available to you by clicking this button in the text editor toolbar:
- In this example, the next time staff in the Mark Jones staff tag log into their staffarea they will be asked to review, agree and sign this contract before they can proceed to their dashboard:
- You can then view this signed contract:
- On the Staff profile dashboard
- Or via the Terms tab
- On the Staff profile dashboard
How can I download a staff contract?
- Go to the Staff profile > Main details > Overview > Terms Agreed On
- Click View Contract to view the contract
- Within your Chrome web browser
- Click the 3 dots to open the menu
- Select Print
- Select the Destination a Save as PDF
- Click Save
- Select a location on your PC and save the PDF
- Click the 3 dots to open the menu
