Confirmation of booking via email link

Enable this if you want each shift you book to have the option to send out a booking confirmation for staff to approve. See Booking staff for details on how to use this feature.

You can add more booking confirmation email templates via Settings > Message options > Email copy > Custom tab. See: Manage email templates for how to add custom email templates.

Enable this if you want the ability for staff to have to reconfirm their shifts after sending the confirmation email for second time or more.

Show shift system IDs

This will show the shift ID's on each shift under locations/shifts:

Remove fully booked jobs from job market

Enable this for the system to automatically remove a job from the Job Market upon all the shifts in that job being booked.

Do not enable this is you want to allow staff to continue to apply for a fully booked job as to allow for a backup of staff for any dropouts.

Automatically change shift status to "Booked" upon staff confirmation

You are able to book staff onto shifts with various statuses as shown:

The 'booked' status is the only status that confirms this shift as booked. All others are provisional statuses that still show this shift as available on the Job Market and throughout the system.

By enabling this option when you book staff to a shift with any other status apart from booked, and they confirm their shifts via the link in the email or via their staffarea then the shifts will automatically change to a status of booked.

This is useful if a staff member isn't to sure whether or not they can do a shift so you leave the shift as 'provisional' for example and then leave it for the staff to confirm and book themselves once they are sure they can do the shifts.

You can still easily monitor this as the shift will still be seen as not booked throughout the system should they not confirm. There are 3 shifts below for May 1 at a location, and all 3 have staff allocated, but Alice is set to Provisional and so it shows only 2 out of the 3 shifts as filled.

Staff removal reasons

When you archive staff in the system you are presented with a list of reasons to select from as to why you are archiving them. The reason you select is then logged against this person in their notes.

In here you can manage this list of reasons.

Shift evaluation/removal from shift

This is where you manage the following lists:

  • Evaluating staff behaviour before and during their shift 
  • Removing staff from a shift or interview

The lists are under each of the following tabs:

  • Before
    • List of evaluation items that occur before the shift has start. Eg, Did not show, late, etc.
  • During
    • List of evaluation items that occur during the shift. Eg, Incorrect dress code, poor performance, etc
  • Removal
    • List of evaluation items for when removing staff from a shift. Eg, illness, double booked, etc
  • Removal from interview
    • List of evaluation items for when removing staff from an interview space. Eg, illness, double booked, etc
