Explanation of all the different notes types
We all need to make notes on everything we do, and so in Staffwise, you can do just that!
We have several different types of notes you can add to the system to ensure all everyone in the business is always up to date on every little nuance.
Job notes for booked staff
- What are 'job notes for booked staff' used for?
- You can supply notes to staff that you are booking onto shifts via the booking confirmation and brief emails. This can be used as a mini brief instead of the full briefing functionality, providing no attachments are required.
- Can staff see these notes?
- Staff can see these notes in the booking confirmation or brief emails if the email tag is included.
- How do I add them to the system?
- Notes for booked staff are added via the job overview page when you add a job to the system. See: Adding a job
- Use the tag

- Where can I see these shift notes?
- Staff can see these notes in the booking confirmation emails and their job briefs
Role notes
- What are 'role notes' used for?
- To add role-specific notes to booking confirmation or brief emails
- Can staff see these notes?
- Staff will also have visibility of roles notes if the tag is added to the booking confirmation or brief emails
- How do I add them to the system?
- Go to Shifts > Action > Role defaults
- Click on the Role notes tab
- Click add
- Then select the role and add the notes
- Now use the tag

in your booking confirmation or brief emails
- Go to Shifts > Action > Role defaults

- Staff can see this in the booking confirmation emails and their job briefs
Location notes added via the schedule
- What are 'location notes added via the schedule' used for?
- To give staff more details on the shift location
- Can staff see these notes?
- Staff will also have visibility of these notes for this shift location
- How do I add them to the system?
- When creating a schedule and adding a location you can add the notes here:

Location notes added via the location database
- What are 'location notes added via the location database' used for?
- To give staff more details on the shift location.
- Can staff see these notes?
- Staff will also have visibility of these notes for this shift location
- How do I add them to the system?
- Go to the location database
- Click on Manage on a location
- Here you have 2 tabs to add location notes
- Main notes is for general notes for this location
- Use the tag

in the booking confirmation or brief email to include these notes

- You can choose whether or not staff can see these notes

Shift notes
- What are 'shift notes' used for?
- Shift notes are a way of adding shift-specific notes only onto shifts. These notes are not linked to staff profiles or staff booked onto the job.
- Can staff see these notes?
- Staff cannot view these notes and are for internal use only.
- How do I add them to the system?
- You can add notes in bulk
- Select the shifts to add the notes to by ticking the checkboxes
- Then go to With Selected > Add shift note
- Select the shifts to add the notes to by ticking the checkboxes
- You can add and edit shift notes individually where ever you see a notes button or 'post-it' style placeholder
- The first 50 characters will appear in the 'yellow 'post-it' placeholder. Click to add or edit.

- You can see, add or edit the shift notes in the following places throughout the shift lifecycle
- Shifts page
- Awaiting signoff page
- Evaluate and signoff popup dialogue in the top right corner
- Awaiting payment page in the evaluate and signoff column

Shift application notes
- What are 'shift application notes' used for?
- To add notes to staff shift applications
- Can staff see these notes?
- Staff cannot view these notes and are for internal use only.
- Go to Shifts
- Go to the Applied tab
- You can click this button to add/edit shift application notes
- OR you can go to the By location, By date or By staff tabs and add to the staff in the Applied staff block
Staff evaluation notes
- What are 'Staff evaluation notes' used for?
- If required, these are the notes you add to the shift evaluation and signoff to comment on the staff's performance for a shift.
- Can staff see these notes?
- Staff cannot view these notes and are for internal use only.
- How do I add them to the system?
- You can add those evaluation notes when evaluating individually
- Go to Jobs > Awaiting signoff
- Go to the shift and click on Evaluate
- You can add the shift evaluation note here
- You can add those evaluation notes when evaluating in bulk
- Go to Jobs > Awaiting signoff
- Select the shifts to evaluate
- Go to With Selected > Evaluate & Signoff
- You can toggle to show or hide the notes on this dialogue in order to add any evaluation notes for staff for their shift performance

- Where can I see these shift notes?
- You can see these shift evaluation notes
- Under the staff profile > notes tab
- Anywhere you see this reputation badge you can click to see the notes
- You can see these shift evaluation notes
Reporting survey submission notes
- What are 'Reporting survey submission notes' used for?
- You can add notes to individual submitted surveys.
- This can be useful if you have made changes to a survey and need to record the changes that you made for others to be aware of.
- Can staff see these notes?
- Staff cannot view these notes and are for internal use only.
- How do I add them to the system?
- Go to Reporting > View reporting
- Go to the button under the Submitted Status column to see the list of surveys that have been submitted
- You can add notes by clicking on the button in the notes column
- Add your survey submission note and press OK
- Where can I see these shift notes?
- You can only see these notes in Reporting > View reporting > Submitted status > Notes
