Profile cards
Staff profile cards overview
Profile cards allow you to build a custom list of staff and attributes to share with your clients. Key features include:
- Fully branded
- Custom URL
- Static or dynamic in nature
- Create a static list of staff
- Create a list of staff dynamically linked to a shortlist, staff applied or staff booked
- Create a custom message to your client as the first card
- Allow clients to register their interest
- Many fields to chose from
- 45 preset fields from their profile
- All preset qualifications and all custom qualifications
- All custom profile questions under the internal use only tab
Creating staff profile cards - Step 1 - Setup
- Go to Staff > Profile cards
- Click on Add New
- Add the following details
- Visibility
- Global - for everyone to see and use
- Personal - for the current logged in user only
- Mandatory
- Template
- Select the template brand from the list
- Mandatory
- Hide empty fields
- If there isn't any data added to a certain question this question will not show on that profile card
- Optional
- Display name
- The main title displayed on the profile card set
- Mandatory
- URL
- Custom URL name
- Mandatory
- Client
- Link this profile card set to a client
- Optional
- Client logo
- This option will only show if a client is selected above
- The logo will show below the display name on the profile card set
- This will auto-populate if a logo is added to the client CRM
- Optional
- Description
- This can be used as an internal description
- Tick Show this copy as the first profile card to have this description show in the first profile card as a message to your client
- Job
- Link this profile card set to a job
- Optional
- Background
- Repeat background image
- Fill background image
- Option to allow clients to register interest in staff profiles
- This will add the following buttons to each profile card
- This will add the following buttons to each profile card
- Options for dynamic profile cards linked to jobs
- Show the shift locations, dates and times the staff are booked onto
- This option will show the location, times and roles that the staff are booked onto for this job
- Example of how it will look on the profile cards
- Allow for 1-5 star rating of staff
- This will allow for the rating and feedback of the staff via the profile cards
- Ability to add an optional password to view/place ratings and feedback

- To view these ratings and feedback go to Reports > Profile card ratings. See: Profile cards ratings
- Show the shift locations, dates and times the staff are booked onto
- Click Save
- Visibility
- The following buttons and tabs will now appear
Creating staff profile cards - Step 2 - Fields
- Click on the Fields tab
- Here you can select from the categories on the left:
To display the fields you have available in that category in the centre column:
- To add fields to your Chosen fields right column to display in your profile card set you can:
- Double-click on a field to add to the right Chosen fields column
- Drag and drop the field over to the right Chosen fields column
- Use the arrow button to add all the fields to the right Chosen fields column
- Once you have added your fields to the Chosen fields column you can:
- Drag and drop into the desired order
- Double-click to remove a field
- Press Save
Creating staff profile cards - Step 3 - Staff
Click on the Staff tab to add your staff to a profile card set in four ways:
- 1. By individual staff
- Select Staff in the dropdown to the right of the search field
- This will create a STATIC list of staff for your profile card set
- Search for the staff in the search field
- Use the arrow to add staff to your selected list
- Select Staff in the dropdown to the right of the search field
- 2. By staff booked onto jobs
- Select Jobs in the dropdown to the right of the search field
- This will create a DYNAMIC LIST of staff for your profile card set for staff booked onto that job
- Search for the jobs in the search field
- Use the arrow to add the job to your selected list

- As the bookings on the job changes so does this profile card set automatically
- Select Jobs in the dropdown to the right of the search field
- 3. By staff shortlisted onto jobs
- Select Shortlists in the dropdown to the right of the search field
- This will create a DYNAMIC LIST of staff for your profile card set for staff shortlisted onto that job
- Search for the jobs in the search field
- Use the arrow to add the job to your selected list
- As the shortlist on the job changes so does this profile card set automatically
- Select Shortlists in the dropdown to the right of the search field
- 4. By staff that have applied onto jobs
- Select Applied in the dropdown to the right of the search field
- This will create a DYNAMIC LIST of staff for your profile card set for staff that have applied to shifts on that job
- Search for the jobs in the search field
- Use the arrow to add the job to your selected list

- As the applied list of staff on the job changes so does this profile card set automatically
- Select Applied in the dropdown to the right of the search field
- Click Save
Creating staff profile cards - Step 4 - Customise
- Select the Customise tab
- Here you can amend the date on the profile card set without saving back to a staff profile
- Click on a blue edit button to update that copy for that field
- Click on a blue edit button to update that copy for that field
- Click Save
Preview/Publish your Profile card set
- Use the Preview button to view the Profile card set
- Use the Publish button to copy the URL to your clipboard
