Interview process initial setup

There are 4 new automatic emails added to the system for:

  • Invite staff to interview
    • When you invite staff to an interview block they will receive this email
  • Book staff to interview
    • When staff book themselves into an interview space the staff will get this email
  • Remove staff from interview
    • When someone in the agency removes someone from an interview space the staff will get this email
  • Staff cancelled interview
    • When staff cancel themselves from an interview the staff will get this email

Please go to Settings > Message Options > Email copy > Auto tab and adjust these emails accordingly to suit your company's tone of voice. See the main article on Creating and amending email templates

Setting up interview blocks, locations and spaces

  • Go to Interviews > View interviews
  • Click + Add new
  • Enter the following
    • Interview block name
      • Mandatory
    • Interview description
  • Press Submit
  • Go to Spaces > Edit spaces
  • Create your locations, dates and spaces. A typical interview schedule may look like this (60 spaces over 2 days with 3 time slots per day)

 

Inviting staff to interviews

Staff will have to be invited to interview blocks to be able to see the interview spaces in their staffarea and to book themselves onto a space.

  • You can invite new applicants to an interview
    • Individually to an interview using the Invite to interview button at the top of their profile page
    • In bulk on the staff search using With Selected > Invite to interview
  • This will then open up the email popup to send the invite.
  • Upon sending the email invite the staff status will change to Applied (Interview Invite sent)
  • All the invited staff show up in the invited staff view

 

Staff booking themselves onto an available space

To book themselves into an interview space staff need to

  • Login to their staffarea and go to Interview > Interviews
  • View the list of spaces available and click on Book
  • This will show up on their dashboard confirming their booked space (approval by agency staff is not required)
  • This then shows as booked within the main system in the interview section.

Searching for interview attributes

With the staff search, there is an Application block to search for staff registration application dates
