What is the Clients section?

The Clients section is a micro Client CRM for your client list whereby you can see and manage

  • Stats
    • See an overview of client spend
  • Main details
    • Main contact details and company information
  • Contacts
    • Add multiple contacts for this client
  • Rates
    • Add a manage details rates for this client
  • Jobs
    • A list of all your jobs with this client
  • Notes & reminders
    • Add client notes and set reminders that will email you on a certain date

To access the clients section go Clients in your top menu:

Clients > Stats

Here you will see a stats overview for your client:

  • Total jobs
  • Total shifts
  • Total booked spend
  • Total scheduled spend
  • Their next shift
  • Their last shift
  • Quarterly chart of booked spend vs scheduled spend since their first shift with you

Clients > Main details

Add and manage for following details for each of your clients

  • Client name (Mandatory)
  • Status (Mandatory) 
    • Options available: Inactive, Active, In talks, VIP
  • Main email
  • Main phone
  • Website
  • Industry
  • Address
  • Registered company number
  • VAT no
  • Parent company
  • Payment terms (days)
    • This can be used when exporting client invoices at payroll
  • Management fee (%)
    • The can be used when creating a quote and exporting client invoices at payroll
  • Logo
  • Attachments

Clients > Contacts

Add and manage multiple contacts for this client:

  • Name (Mandatory)
  • Email
  • Phone
  • Mobile
  • Linkedin
  • Position
  • Main activity
  • Notes

Clients > Rates

Add default rates for your client that will auto-populate in your schedules. When adding a client default rate you have the following options:

  • Name
    • For your own reference
  • Roles (Mandatory)
    • Select the role or roles that this default rate applies to
  • Default daily rate
    • Add the default daily rate for this client for the roles selected above
  • Default hourly rates
    • Add the default hourly rate for this client for the roles selected above
    • Select the time period this hourly rate applies to
      • If you select less than a 24-hour period you can add another rate for the remaining time, this would be if you have a different day and night rate
  • Subs
    • Add your default subs amount
  • Additional/Bonus
    • Add the default additional/bonus amount
    • This is your custom field that you can custom label in Settings > Job options
  • Expense allowance
    • Add the default expense allowance

These client default rates will:

  • Take precedence over any default rates added globally in settings:
  • Be superseded by default rates added to a:
    • Job
      • Go to Shifts > Actions > Default rates
      • See: Job actions
    • Staff rate card

Clients > Jobs

View a list of all your jobs with this client:

  • Job name
  • Total shifts
  • Scheduled spend
  • Booked spend

Clients > Notes & reminders

Add notes and get reminders. For each note you can add the following:

  • Incurred
    • The date that this client note was incurred, if any
  • Type  (Mandatory)
    • Call, Call back, Email, General, Insight, Internal, To do
    • Add your own types to the list with the Add button
  • Title (Mandatory)
  • Note (Mandatory)
  • Send a reminder notification email
    • Select his to be able to set a reminder date for the system to send you a notification
