What can I use an FTP import for?

You can automate your job and schedule imports from an external third-party system using our SFTP import.

Enable the ability to import jobs and schedules via FTP

To setup your FTP in Staffwise:

  • Go to Settings
  • Go to Job Options > Job import from FTP > Edit
  • Here you must add your FTP details for where you are to send your job and schedule files
    • Enable import from FTP
      • Tick this to enable this feature
    • FTP host
      • Add your FTP hostname
      • This must be an SFTP hostname
    • FTP username
      • Add our FTP username
    • FTP password
      • Add your FTP password
    • Email address for notifications
      • You will be notified when jobs and schedules have been imported

File formats for the FTP import

There are two files you can upload to your FTP for Staffwise to import into your system:

  • Jobs
    • Please see this article for the format required to import jobs via FTPImporting multiple jobs
    • You must ensure the word JOB is included in the filename
    • You must ensure the word SCHEDULE is NOT included in the filename
    • The JOB CODE column for FTP job import file is mandatory
      • The FTP import process uses the JOB CODE as a unique ID to match the schedule to the job
    • You need to ensure that the file names are unique as the same file will never be imported/processed more than once
       
  • Schedules
    • Please see this article for the format required to import schedules via FTPImporting a schedule into multiple jobs
    • You must ensure the word SCHEDULE is included in the filename
    • You must ensure the word JOB is NOT included in the filename
    • The JOB CODE column for the FTP schedule import file is mandatory
      • The FTP import process uses the JOB CODE as a unique ID to match the schedule to the job
    • You need to ensure that the file names are unique as the same file will never be imported/processed more than once
