Why use the internal venue database?

Using stored venues can be extremely useful whereby you use those venues repeatitively for regular clients. Its means you only enter the venue information once, including address, checkin location, checkin radius and venue notes. Then to use these venues you only need to use the venue name, rather then input all the information in again and again. This also increases consistency of the venues in your schedules throughout your campaigns.

When it comes to staff checking in and out you can also customise each venues checkin radius over the main default radius.

This article will show you how to add locations to your campaigns using an internal location database as opposed to using google maps to locate your venue every time you need to add new locations to a campaign.

Adding the venues to your internal venue database

Within settings you have the following option:

Click 'edit' to add and manage your list of venues.

Your options now are to:

  • 'Import' - to import all your venues quickly via a CSV import. Download the template here.
  • 'Add new' - to add venues manually one by one.

Adding venues manually

You have the following fields to add for the main venue information

  • Name (mandatory)
    • Add a venue name here. This will be used as the venue name when importing a schedule via a csv. 
  • Alternative name
    • If the venue has an alternative name. This can also be used in the schedule csv import.
  • Country (mandatory)
    • Select the country from the dropdown
  • Address (mandatory)
    • This field will use the Google Maps api to find the address
  • Latitude
    • Automatically populated from the Address field
    • Can be added manually or by placing a marker on the map to the right
  • Longitude
    • Automatically populated from the Address field
    • Can be added manually or by placing a marker on the map to the right
  • Phone
    • Automatically populated from the Address field
  • Opening hours
    • Automatically populated from the Address field
  • Notes for staff
    • These notes will show next to the venue in the staffarea

You then have these options should you wish to have a 'Seperate check-in location':

  • Use different checkin location
    • Tick here if you want to add a different checkin location
  • Checkin point Latitude
    • Enter the latitude of your different checkin point or use the map on the right to place the marker
  • Checkin point Longitude
    • Enter the longitude of your different checkin point or use the map on the right to place the marker
  • Checkin radius (meters)
    • Enter the custom checkin radius
    • This will allow staff to checkin with this radius of the map marker
    • Note that you dont need to use a different checkin location to use this custom radiud

Using these internal stored venues when setting up a campaign

Once you have your venues added into the system and you which to use them for a campaign you must check the following option when creating a new campaign:

It is important to note that one the campaign is created you cannot switch between using and not using the venue database. If forgot to check this option, you would need to delete the campaign and re add.

Using these venues in your schedule using the user interface

When you build a schedule you just simply start typing the location name in the location textfield (no more using google maps for the location and setting your checkin location everytime you add locations):

Using these venues in your schedule using the schedule CSV import file

You can still import using the CSV, and you just need the location name only. So from above it would be ‘John Lewis (Greenhithe) or ‘John Lewis (Oxford Street)’.
